Meeting Planner
Find a meeting time that works across time zones: add the time zones of the people in the meeting, and the planner lines up every hour of the day side by side, marks each person's working hours and highlights the hours when everyone is at work. Pick the date, because daylight saving can move the overlap, and copy a link to send the plan to the others.

How DateMath plans a meeting across time zones
DateMath takes every hour of the date in the first time zone you list, from midnight to midnight, and shows each hour on every other zone's clock, with the UTC offsets in force on that date. An hour counts as inside someone's working day when the whole hour falls between the start and the end of the day on their own clock, so in a 9-to-5 day, India's 9:30 AM to 10:30 AM counts and its 4:30 PM to 5:30 PM doesn't.
- The IANA time zone database. DateMath's time zone tools take each zone's UTC offset and daylight saving dates from the IANA time zone database (tz) built into your browser, the data computers and phones set their clocks by, so every date gets the rule in force on it. US daylight saving time runs from 2:00 AM on the second Sunday in March to 2:00 AM on the first Sunday in November (15 U.S.C. 260a); the EU and the UK change at 1:00 AM UTC on the last Sundays of March and October. Source: IANA time zones, 15 U.S.C. 260a, Directive 2000/84/EC.
DateMath's date math is tested against more than 100 cases worked out by hand. Every worked example and table on the site is computed with the same code the calculators run, so a page and its calculator can't disagree.
Time zone meeting planner: an hour that works for everyone
A meeting across time zones needs an hour that falls inside everyone's working day. The planner is a time zone converter for meetings: it lists every hour of the date in the first zone, shows the same moments on every other clock, and highlights the rows where all of them are at work, so the answer is the highlighted rows, already converted for each person.
Your own time zone, read from your device, is filled in first; add the zones of the people you meet, up to eight. The working day is 9:00 AM to 5:00 PM unless you change it, and it applies on each person's own clock. When no hour suits everyone, DateMath names the hours that suit the most people, so you can see who would have to start early or stay late.
Shared working hours of common teams
The hours a 9-to-5 day on both sides has in common, in the first city's time, on two Wednesdays of 2027: February 10, 2027, and March 17, 2027, when the US is already on daylight saving time and Europe isn't yet.
| Team | February 10, 2027 | March 17, 2027 |
|---|---|---|
| New York and London | 9:00 AM to 12:00 PM EST (3 hours) | 9:00 AM to 1:00 PM EDT (4 hours) |
| New York and Berlin | 9:00 AM to 11:00 AM EST (2 hours) | 9:00 AM to 12:00 PM EDT (3 hours) |
| Chicago and London | 9:00 AM to 11:00 AM CST (2 hours) | 9:00 AM to 12:00 PM CDT (3 hours) |
| Los Angeles and New York | 9:00 AM to 2:00 PM PST (5 hours) | 9:00 AM to 2:00 PM PDT (5 hours) |
| Los Angeles and London | None | 9:00 AM to 10:00 AM PDT (1 hour) |
| New York and Mumbai | None | None |
| London and Mumbai | 9:00 AM to 11:00 AM GMT (2 hours) | 9:00 AM to 11:00 AM GMT (2 hours) |
| London and Singapore | None | None |
| Los Angeles and Sydney | 2:00 PM to 5:00 PM PST (3 hours) | 3:00 PM to 5:00 PM PDT (2 hours) |
The US and Europe share the US morning, and the West Coast shares almost nothing with Europe. India and the US share no 9-to-5 hour at all, so those teams meet in the US morning and the Indian evening, or the other way round. Europe and India share the European morning.
How to pick a meeting time across time zones
- Start with the overlap. A highlighted row costs nobody an early start or a late evening.
- Without an overlap, widen the day. Set the working day to 8:00 AM to 6:00 PM, see which rows get highlighted, then ask the people at the edge of the day.
- Share the inconvenience. For a recurring meeting with no good hour, alternate between a slot that suits one side and one that suits the other.
- Watch the date line. A Monday morning in Sydney is Sunday afternoon in Los Angeles, so a weekly meeting can land on someone's weekend; the planner shows the weekday next to such times.
- Name the zone in the invite. Send the link to the plan, or write the time with a city (“10:00 AM New York”) rather than an abbreviation such as CST or IST, which name more than one zone.
Daylight saving time and recurring meetings
A calendar keeps a recurring meeting at the organizer's clock time. When only one side changes its clocks, the meeting moves by an hour for the other: the US changes two or three weeks before Europe in March and one week after it in the fall. A 10:00 AM meeting in New York on London's clock:
| Date | New York | London |
|---|---|---|
| March 10, 2027 | 10:00 AM EST | 3:00 PM GMT |
| March 17, 2027 | 10:00 AM EDT | 2:00 PM GMT |
| April 7, 2027 | 10:00 AM EDT | 3:00 PM BST |
| October 27, 2027 | 10:00 AM EDT | 3:00 PM BST |
| November 3, 2027 | 10:00 AM EDT | 2:00 PM GMT |
| November 10, 2027 | 10:00 AM EST | 3:00 PM GMT |
Plan on the meeting's real date to see which hour applies, and check again around the clock changes. The time zone converter lists the daylight saving dates, and its pair pages, such as PST to EST and IST to EST, show two zones hour by hour.
Frequently asked questions
- How do I find a meeting time across time zones?
- Add every participant's time zone and set the working day: the highlighted rows are the hours inside everyone's working day, listed above the table in each zone's time. If no row is highlighted, the planner names the hours that suit the most people, and you can widen the working day by an hour or two to find a slot.
- What is the best time for a meeting between the US and the UK?
- The US East Coast morning: with both offices working 9 to 5, 9:00 AM to 12:00 PM in New York is 2:00 PM to 5:00 PM in London for most of the year. In the weeks when only one side has changed its clocks, the gap is 4 hours and the overlap grows to 4 hours. From the West Coast, 8 hours behind London, a 9-to-5 day has no overlap for most of the year, so one side starts early or stays late.
- What is the best time for a meeting between the US and India?
- There is no hour inside a 9-to-5 day on both sides: India is 9 hours 30 minutes ahead of New York in summer and 10 hours 30 minutes in winter. Teams usually meet early in the US morning, which is the Indian evening (8:00 AM EDT is 5:30 PM IST), or in the US evening, which is the next morning in India.
- How does daylight saving time affect a recurring meeting?
- A calendar invite keeps the organizer's clock time, so when only one side changes its clocks, the meeting moves an hour for the other. A 10:00 AM New York meeting is 3:00 PM in London most of the year but 2:00 PM in the weeks of March and late October when the US and the UK are out of step. Plan on the meeting's real date to see it.
- Can each person have different working hours?
- Not yet: the planner uses one working day for everyone, on each person's own clock. If one person starts early or works late, widen the working day to cover them and read their column in the table.
- Which time zone sets the rows of the table?
- The first one in the list: the rows are every hour of the date you pick on its clock, from 12:00 AM to 11:00 PM, and the other columns show the same moments on their own clocks. On the days its clocks change, that is 23 or 25 rows. To plan from another zone's day, remove the zones above it and add them again below.
- What does a weekday next to a time mean?
- That the time falls on another date in that zone. At 9:00 PM in Los Angeles it is already 9:30 AM the next morning in Mumbai in summer, so the cell shows the time with the weekday of that next day.
- Can I share the meeting plan?
- Yes. Copy a link to this meeting plan: it carries the date, the time zones and the working day, so everyone who opens it sees the same table on their own screen.
- Does the planner know public holidays?
- No. It knows clocks, not calendars: check the participants' public holidays and days off yourself. For US federal holidays, the business days calculator lists the ones in any date range.
